Group Leaders and Administrators can send reminder emails for group events, which will include RSVP requests. You can also set up automated reminders for a group or for an event to be sent on a specified date.
Group members can respond to reminders and view their event RSVP status.
Setting Up Automated Reminders
You can set up automated reminder emails that will be sent from 1 to 10 days before any events scheduled for your group. You can set reminder defaults that apply to all new events that you create or reminders for individual events.
If your event starts at 9am, the reminders will be sent at 9am from 1 to 10 days before your event, depending on what you sent.
Set Group Reminder Defaults
When you set up reminder defaults from the group settings tab, this default will apply to all new events that you create. You can edit the settings later for individual events.
To set up reminder defaults, go to the Settings tab for the group, and toggle the Send reminder emails button to green.
From the dropdown, choose the number of days before the event that you want to the reminder to be sent out.
Set Reminders for a New Event
When you are creating a new event, you can either change the default that has been set for the group or set up a new reminder if there isn't a default.
In the Event Reminders section, toggle the Send reminder emails button to green.
In the dropdown, choose the number of days before the event that you want to the reminder to be sent out.
To set a reminder for an existing event, edit the event and follow the steps above.
Send Manual Reminders
To remind group members of an event immediately, go to the event page in a group, and then click Send event reminders.
You can manually send a reminder, whether or not automated reminders have been set up for the event.
Add an optional message to the reminder email, and then click Send to email your members.
Group members will receive an email with an RSVP request.
You can also send a reminder from the main Events page in Groups, but you will not be able to edit the message.
Click the Request now button next to the event that you want to collect RSVPs for.
After you have sent a reminder for an event, you can resend a reminder email and choose which members receive the reminder.
Here are some reasons why you might want to resend reminders emails:
- This will be the first event reminder email for new members.
- People who haven't yet responded will get another opportunity to respond to the event RSVP.
- People who have already RSVPed might need an additional reminder of the meeting. This also gives them the chance to easily update their RSVP.
Click Send to send the email after you've made your selections.
The group members that you emailed will receive a reminder with an RSVP request.
You can keep track of the number of people who have responded to the RVSP from the main Events page on the events list.
You can also view the event page to see how individual members have responded to the RSVP.
Change Member RSVPs
A Group Leader or Administrator can change a member's RSVP from within the a group event if the member doesn't want to make the update from Groups.
To update a member's RSVP, go to the event page, and click Edit next to the person's name in the RSVP section.
Choose the appropriate RSVP response from the dropdown, and then click Save & Send.
The member will receive an email to inform them that the RSVP has been changed, and if they want to update the RSVP again, they can do so from the email.
