Attendance

Keeping track of who and when can help you gauge the health and engagement of your groups. Administrators can request, edit, or add attendance from the Groups admin pages.

Tip

If you don't want to track attendance, you can turn off the reminders on the group settings page.

Monitor attendance

Consistent attendance data creates a clear picture of group health. On the Calendar tab, administrators and group type managers can quickly view event attendance across multiple groups. You can also request attendance from the leaders, view event notes, or update attendance yourself!

Adjust the group type and tag filters to show the groups you want to monitor.

Under the calendar, you can see a list of events and attendance stats.

Request attendance

Administrators can set up recurring attendance reminders or request attendance from single events.

On the specific event's page, select Request attendance from leaders.

Leaders and members designated to take attendance will receive an email to their primary email address.

The event's attendance form will open when an attendance taker selects Report attendance now from the email.

Record attendance

Tip

Equip your group leaders and key members to take attendance in Church Center!

A group's Event tab shows each event's attendance status. Events are listed chronologically by default, showing the date and time, name, attendance status, notes, reminders, and responses.

Select Take attendance next to a specific event to go to that event's attendance roster.

Note

Events that have Has not started yet as their status will switch to the Take attendance button 10 minutes before the start time of that event.

Members and leaders will always appear on the roster; you must add visitors each time they attend. To take attendance:

  1. Check the box next to each present member's name.

  2. Use the plus or minus buttons to tally the number of visitors at the meeting.

  3. To add someone to your roster, select their role (visitor, member, or leader) from the dropdown, then search for their name. You can choose to Add a New Person if they're not in your database already.

Select Submit to record attendance.

Promote a visitor to member status

When a visitor has regularly attended your group and is ready to join, promote them from the attendance roster by selecting the star next to their name.

The roster will refresh, and the visitor will be a member!

Attendance reports

Dig into the data that's most important to you by customizing your view of the attendance report. On the Attendance tab of a group, you can view the attendance information for each individual at each meeting, their attendance percentage, and other attendance details.

Tip

In Church Center, group leaders can access attendance reports for each of their groups!

Generate attendance report

  1. Select the Groups page from the top navigation bar.

  2. Choose a group from the list.

  3. Select the Attendance tab on the left side of the page.

  4. Choose a time frame and, if desired, check the box to include removed members.

  5. Select Print and choose Print View or Export CSV to preview and download your data.

    • Print View for Groups is limited to approximately eight dates within an 8.5 x 11 sheet of paper.

    • To print more attendance data, choose smaller date ranges to prevent reports from being cut off.

The bottom of the attendance report shows attendance totals. Select a specific attendance total to go directly to that event's page, where you can add or edit attendance. If the leader doesn't take attendance, the column is grayed out for that event.

Important

Visitors are included in the report with a tag if they've been added to the event roster in the admin pages. The tag disappears if they are made a member. 

Visitors are removed from event attendance rosters altogether after they miss one event.

Track multi-group attendance

Track attendance across multiple groups with a CSV export to help you monitor participation, spot low engagement, and help your group leaders take action where needed.

  1. Select the Groups page from the top navigation.

  2. Select the Reports tab.

  3. (Optional) Use the top dropdowns and text field to filter by group type, tags, and active or archived groups.

  4. In the Stats Over Time section, choose a time frame.

  5. Select the CSV Export button to the right of the Event Attendance graph.

  6. In the popup, preview the data to be included in your event attendance export and make any desired changes.

  7. Select Create Export to send yourself an email with the CSV download link.
